A Quick Note Before We Start

Like our Terms of Service, this Privacy Policy is a work in progress.

We’re going to be honest with you about what we collect, what we do with it, and what we don’t do. As the network grows and we add new platforms or features, this document will update too.

We’ll always let you know when things change.


1. What This Covers

This Privacy Policy applies to all platforms and spaces operating under:

  • Kharlemagne (parent brand)

  • Kharlemagne Presents (featured projects and productions)

  • Kharlemagne Productions (creative works and media)

Including:

  • KVN3 (KrossVerses Network) — Discord community

  • KrossVerses — Substack publication

  • By.Kharlemagne — Commerce platform

  • BFF Empire — Gaming brand

  • Label K — Music production

  • Kodex — Worldbuilding/universe hub

And any future platforms or spaces launched under these brands.


2. The Honest Truth About Data

Here’s the reality: We operate primarily through third-party platforms — Discord, Substack, and others. Those platforms have their own privacy policies and collect their own data.

What the platforms collect (not us):

  • Discord collects what Discord collects. Their privacy policy governs that.

  • Substack collects what Substack collects. Their privacy policy governs that.

  • Any commerce platform (Shopify, etc.) has its own data practices.

We don’t have direct access to most of that data. We’re not running custom databases or tracking systems behind the scenes.

What we might actually see or collect:

  • Usernames and display names — What you choose to show publicly in our spaces

  • Content you post — Messages, comments, submissions, contributions in our community spaces

  • Email addresses — If you subscribe to KrossVerses on Substack, or contact us directly

  • Basic analytics — Substack and other platforms provide general stats (how many people read something, general geographic regions, etc.) but this is aggregated, not individual tracking

  • Voluntary information — Anything you choose to share with us directly (feedback, applications, collaboration requests, etc.)


3. What We Do With Information

Content you share in community spaces:

  • May be featured, promoted, or referenced per our Terms of Service

  • Is visible to other community members (it’s a community — that’s how it works)

  • May be used in spotlights, compilations, or promotional materials

Email addresses:

  • Used to send you the content you signed up for (newsletters, updates)

  • We’re not selling your email to anyone

  • We’re not spamming you with stuff you didn’t ask for

Analytics:

  • Help us understand what’s working and what isn’t

  • Inform decisions about what content to create

  • That’s it. We’re not building profiles on you.


4. What We Don’t Do

Let’s be clear:

  • We don’t sell your data. Ever.

  • We don’t share your personal information with third parties for their marketing purposes.

  • We don’t track you across the internet.

  • We don’t collect more than we need.

If this ever changes (it shouldn’t, but if it does), we’ll update this policy and tell you why.


5. Third-Party Platforms

Because we operate through existing platforms, you’re also subject to their privacy practices:

We encourage you to review those if you’re concerned about data practices. We chose these platforms because they’re established and reasonably trustworthy — but we can’t control what they do on their end.


6. Your Content

Reminder from the Terms of Service: Content you post in KVN3 spaces is subject to the content license you agreed to by participating. That’s about usage rights, not privacy — but it’s worth remembering that community spaces are inherently public (or semi-public) by nature.

Don’t post anything you need to keep private in a community space. That’s just good internet practice.


7. Your Rights

You have the right to:

  • Access — Ask us what information we have about you

  • Correction — Ask us to fix inaccurate information

  • Deletion — Ask us to delete your information (within reason — we can’t delete your posts from other people’s memories, and some things may be retained in backups or archives)

  • Opt out — Unsubscribe from emails, leave community spaces, etc.

To exercise these rights, just contact us. We’ll do our best to help.


8. Cookies and Tracking

We don’t run our own cookies or tracking scripts.

The platforms we use (Discord, Substack, etc.) may use cookies and similar technologies according to their own policies. We don’t control that.

If you want to limit tracking, use browser privacy settings, ad blockers, or privacy-focused browsers. We’re not going to be offended.


9. Children’s Privacy

Our spaces are intended for users 13 years or older (matching Discord’s minimum age requirement).

We don’t knowingly collect personal information from children under 13. If we discover we have, we’ll delete it.


10. Changes to This Policy

This policy will update as we grow. When it changes:

  • We’ll update the “Last Updated” date

  • We’ll announce significant changes in community spaces

  • We’ll try to explain what changed and why

12. The Honest Part

We’re not a big company with a legal team and a surveillance apparatus. We’re a sole proprietorship building a community.

Our approach to privacy is pretty simple: collect what we need, don’t be creepy, don’t sell people out, be honest about what’s happening.

This policy exists because it should exist — and because being transparent about this stuff is the right thing to do. Not because we’re doing anything sketchy that needs explaining.

If something here doesn’t make sense or you think we’re missing something important, tell us. We’re figuring this out as we go, just like everything else.
